What we collect, why, and what you can do about it.

Last updated: 8 October 2026 · Version 2026-10

Who we are

Fox and Frog Ltd (“Fox & Frog”, “we”, “us”) decides how and why your personal information is used on this website, which makes us the “controller” under UK data protection law.

What we collect

If you join The WTF Files

Your first name (optional), your email address, the consent choices you tick on the sign-up form, and when you signed up.

If you email us

Your name, email address and whatever you choose to tell us.

If you book a call

Calls are booked through a Google Calendar booking page. We receive your name, email address, any details you add and the time you chose.

Website analytics (only if you say yes)

If you accept analytics cookies, Google Analytics 4 collects information such as the pages you visit, how you arrived, your device and browser, and an approximate location. Ahrefs Web Analytics counts page views, referring sites, browser, device and country without using cookies. If you don’t accept, neither tool runs.

Running the website

Our hosting provider, Netlify, processes technical information such as IP addresses and requests to deliver and protect the site, and collects anonymous page-performance measurements. When a page loads its typefaces from Google Fonts, Google receives your IP address.

If you become a client

If you or your organisation become a consultancy client, we use the contact and business details of the people we work with, the information shared with us so we can deliver the work, and the details needed for contracts, invoicing, payments and accounting records.

Who helps us

We use a small number of service providers. They handle personal information on our behalf and only as needed to provide their service. We may also share information where the law requires us to.

  • HubSpot: newsletter sign-up form, contact records and emails (our account uses HubSpot’s EU data centre)
  • Google: Google Analytics 4 (only with your consent), Google Calendar booking pages and Google Fonts
  • Ahrefs: cookieless website analytics (only with your consent)
  • Netlify: website hosting
  • Google Workspace: our email (@foxandfrogltd.com)

International transfers

Some of our service providers are based in, or may process data in, countries outside the UK, including the United States. Where personal information is transferred outside the UK, it is handled under the data protection terms those providers offer. If you’d like more information about transfers, email jade@foxandfrogltd.com.

How long we keep it

  • The WTF Files: until you unsubscribe. After that we keep only what’s needed to make sure you aren’t emailed again (a suppression record).
  • Enquiries and emails: 12 months after our last interaction
  • Call bookings: 12 months after our last interaction
  • Client and financial records: for as long as the law requires us to keep them
  • Google Analytics 4: event data is kept for 2 months and user data for 14 months; the user-data period restarts when a visitor returns
  • Your cookie choice: up to 12 months, then we ask again

Your rights

You have the right to:

  • ask for a copy of your personal information
  • have it corrected or deleted
  • restrict or object to how we use it, including objecting to direct marketing at any time
  • receive it in a portable format
  • withdraw consent at any time, without affecting what we did before you withdrew it

Email jade@foxandfrogltd.com. We’ll normally reply within one month, and there’s usually no charge. Every WTF Files email has an unsubscribe link.

Complaints

If you’re unhappy with how we’ve handled your information, please tell us first and we’ll try to put it right.

You can also complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint or 0303 123 1113.

Cookies and similar technologies are explained in our Cookie Policy, which is also where you can change your choices.

If we change this policy we’ll update the date at the top. If a change affects your cookie choices, we’ll ask you again.
